The requirements

Before the implementation of Audit Manager, audit management at Walvoil was fragmented and highly time-consuming. Audits were managed through separate files, collecting photographic evidence was complicated, and non-conformities were tracked across different systems, resulting in significant effort to keep information aligned.

Corrective actions were also monitored manually, often through email exchanges.

As a result, the company needed a tool capable of centralizing activities, simplifying operational workflows, and improving overall process control.

The goal was not only to digitalize operations, but also to build a smoother, more scalable system that could easily be used by external users such as suppliers.

The solution

With Audit Manager, Walvoil adopted a single tool to manage all audit-related activities, accessible also via mobile devices and easy to use for all stakeholders involved.

The solution was configured to support both internal and supplier audits in an integrated way, covering all operational phases: from planning and checklist completion to non-conformity management and reporting.

The system is used across multiple areas, including internal audits for product validation, supplier audits, and certification audits (ISO 9001 and ISO 14001), ensuring a consistent approach across different processes.

One of the key elements of the project was the customization of workflows, developed to reflect the company’s actual operational methods and adapt to different usage scenarios.

Among the main improvements introduced:

  • a supplier self-assessment workflow, enabling automatic audit generation and supplier involvement in the completion process, reducing manual activities and email exchanges
  • a dedicated process for evaluating prospective suppliers, allowing the analysis of new companies without overloading the system with non-finalized data

Another distinctive feature is the dynamic outcome management within product audits: based on the answers provided, the system can authorize or block the shipment of parts, directly linking verification activities to operational decisions.

Corrective action management has also become more structured: each finding can be divided into specific tasks assigned to different responsible persons, and closure occurs only once all planned actions have been completed.

Finally, reports and scoring systems provide immediate and objective evaluations, improving result readability and supporting decision-making processes.

The system is also used in international contexts, with implementations and testing carried out in overseas branches (Canada, USA, and India), confirming its scalability and adaptability.
